Terms & Conditions

1. All vehicles should be booked with notice and submitted by the customer in a clean state so that inspection, maintenance, and servicing can be carried out without prior preparation. Alternatively, SMS LTD (Staffordshire Motor Service LTD) will carry out necessary cleaning at additional cost.

2. Any Maintenance Agreement or Contract is subject to cancellation at any time by one party giving the next calendar month’s notice in writing of their intention to terminate this Agreement.

3. Payments are to be made in full 30 days after work has been carried out. Non-payment after thirty days puts the account on stop and any following inspections and work will not be done until the account is balanced. Maximum credit limit at any time is £15,000.

4. As of April 2025, all PMI’s / Safety Inspections must accompany a valid loaded brake test, should a vehicle have insufficient load it is a Fail and cannot be on the road until a valid pass has been recorded. SMS LTD charge the hourly rate for loading and unloading our test weights in addition to the safety inspection charge.

5. In consideration of payment by the Customer in accordance with SMS LTD’s scale of charges (as amended from time to time) SMS LTD will carry out Preventative Maintenance Inspections, Services and Repairs on vehicles owned by the customer.

6. Any defects/safety related items found will be recorded and reported by SMS LTD to the customer and all safety related defects must be rectified before the vehicle leaves site. If the customer wishes to take the vehicle with safety related defects they must sign a Disclaimer.

7. All invoices submitted to the customer by SMS LTD shall contain full details of work carried out and spare parts supplied. Parts warranty is available but not for the labour.

8. It is the Operator’s responsibility to present the vehicle on time for each scheduled Preventative Maintenance Inspection and to either authorise the safety related items to be rectified or to arrange their rectification directly themselves. Pre-Inspection defects need to accompany a driver defect report.

9. Staffordshire Motor Services Ltd offer a scheduling service through R2C but is charged at the hourly rate.
